  • The order in which organizations select their booths for next year’s Convention is based on priority points. Suppliers should have received their appointment via email prior to Convention. However, they are welcome to stop by the 2019 Expo Selection Center to confirm or view their appointment time. Walk-in appointments are welcome starting at 10am on Wednesday, August 15.
  • Visibility Packages are pre-selected marketing offerings that will allow a supplier’s organization to communicate with GBTA’s network of corporate travel professionals before, during or after Convention. Visibility Packages are available for purchase at a discount during Booth Selection and in the Expo Selection Center.
  • Missed space selection appointment time – proceed to the 2019 Expo Selection Center (located in Sails Pavilion – Upper Level) for assistance or call Heather Brown at +1 703 236 1172.
  • If you are a first time exhibitor and would like to sign up to exhibit in 2019, stop by the 2019 Expo Selection Center on Wednesday, August 15 at 10:00am.

You must wear your GBTA badge at all times to receive admittance to GBTA Convention and during the Opening Reception, Education Sessions, Kick-start Sessions, Expo, Convention Arena, Center Stage and shuttle buses.

Badge sharing, splitting or reprints made outside of the official GBTA registration system are strictly prohibited. Any attendee found in violation of this policy will be removed from the Convention and all badges will be revoked.

My Convention Planner

Using the My Convention Planner tool, attendees can plan their Convention experience by creating a schedule of exhibitors they’ll visit, and education sessions and events they will attend. In addition, attendees can make confirmed appointments with exhibitors. This customized online schedule can be synched to Outlook calendars and the Convention 2018 Mobile App.

2018 Convention Hotels
All Convention attendees must first register for the Convention prior to booking their housing. Accommodations will be available on a first come first serve basis at convention hotels.
Food & Beverage
  • SDCC provides a water cooler in the back of the education rooms.
  • GBTA hosted water cooler stations will be positioned throughout the convention center.
  • GBTA will provide coffee on Monday, Tuesday and Wednesday morning for Education Session attendance on Upper Level.
  • Concessions (for purchase) will be available during the convention.
  • Attendees who opted for a specific meal option during the registration process will receive a specialized meal ticket at check in with their registration materials. These tickets can be handed to any banquet person during the Convention Arena luncheons to ensure dietary needs are met.

Shuttles will drop off attendees at the main shuttle drop off areas (Ground Level), attendees will need to proceed a short distance over to the opening reception. Shuttles returning to GBTA Hotels will pick up at the same location.

Security at SDCC

Every precaution is taken to ensure that GBTA Convention is a safe and secure learning environment for attendees. Security guards and/or police are present at all times inside the convention center.

Non-Emergency Security at the Convention Center

Staffed twenty-four hours a day, seven days per week and is the emergency communications hub for the SDCC

Emergencies at the Convention Center
In the event of a major emergency, the SDCC communicates directly with the San Diego Police Department, the San Diego Fire Department who will dispatch the appropriate assistance.

Emergency calls at the San Diego Convention Center:
  • NON LIFE-THREATENING emergency, use a house phone (located throughout the center) to dial Security/Guest Services at extension 5490 or from an outside line or mobile phone, call 619.525.5490.
  • LIFE THREATENING emergency, dial extension 5911; or from an outside line or mobile phone, call 619.525.5911.
    • The Command Center is in direct contact with all local emergency services and will call 911 on your behalf. Failure to contact the Command Center may result in a significant delay in the response time of emergency personnel.
    • If you choose to contact 911 on your own, please notify the Command Center immediately afterward so that they can assist with the first responders in locating where you are in the building.
When reporting an emergency, please give the following information:
  • The location
  • The nature of the emergency
  • Number of persons involved
  • Nature and extent of injuries, if any
  • Any other pertinent information that may be helpful for responding emergency crews
  • Unless currently certified in First Aid-CPR, your role is to contact Security
  • Do not move the person except to remove from immediate danger.
  • If person is totally non-responsive, you are authorized to deploy an automated defibrillator device (AED). Follow the step-by-step directions it provides.
  • Stay with the person until qualified help arrives
  • Remain at the scene to complete witness information
Should an alarm and or strobe become activated it will be followed by a P.A. (Public Address) delivered through the SDCC Security Services Department. This P.A. announcement will inform you that we are investigating the situation. Example “Please remain calm, stay where you are, and wait for instructions”.

A second P.A. will give you updated information. It will either be an “All Clear” announcement or “Evacuation” instructions. The announcement will be repeated until it is confirmed by our Emergency Response Team that the situation is all clear or the evacuation has commenced. If told to evacuate, exit the building and proceed to the designated assembly points.

The SDCC Fire Safety System is divided into specific building areas. Therefore it is possible that you may hear a P.A. announcement without hearing an alarm or seeing strobes. Unless you feel there is an immediate threat and that you should evacuate, please follow the instructions given by the P.A. announcement
The SDCC has (14) fourteen AED’s located throughout the facility. They are to be used in case of sudden cardiac arrest. They are located in the following areas; SDCC Security Base, Lobby A, Administrative Office (by the workroom), East Mezz level near Show Office F, Ballroom 6A foyer (Cityside), Ballroom 20D foyer (Bayside), Lobby H, Lobby E next to Box Office, Lobby C, Outside Café 451, West Mezz level by Room 16A, upper level across from Room 28C, upper level outside Room 24A, and upper level outside Rooms 31B.
  • If actual fire, notify Security at x5911.
  • If time is available or a coworker can assist, attempt to confine the fire with an available fire extinguisher if it is safe to act. Do not breath smoke or fumes.
  • If unable to attempt use of an extinguisher, evacuate the area by walking to the nearest safe exit.
  • Leave all belongings. Do not use the elevators. Do not return to the building until authorities indicate that it is safe to do so.
  • Do not attempt to evacuate, run or panic.
  • Stay indoors and take cover.
  • Stay put in place, expect aftershocks
  • Wait for instructions
  • Use your cell phone and/or other communication device for emergency communication only.
Active Shooter
An active shooter is an individual actively engaging in killing or attempting to kill people in a confined and populated area, typically through the use of firearms. In the event of an active shooter incident your priorities will be to:

Escape – The best choice when possible Leave the area for a safer place as quickly and safely as possible. Leave your belongings behind. Refrain from carrying items in your hands Keep your hands up and visible as you pass law enforcement. Avoid quick movements towards officers; avoid pointing screaming, or yelling at them. Do not stop to ask officers for help or direction

Hide – If you can’t escape Select an area out of the shooter’s view Block entry to your hiding place and lock the doors Turn off lights and silence any phones or pagers

Fight – As a last resort and only when your life in in imminent danger Attempt to incapacitate the shooter Act with physical aggression Throw items at the shooter and use anything you can as a weapon of opportunity.

Once it is safe to do so, dial 5911 from a house phone or (619) 525-5911 from a cellphone and be prepared to provide the shooter’s last known location, number of shooters, description, types of weapons, and number of victims. If your call is not answered immediately, it is because Security is speaking with law enforcement and coordinating the response.

Once Security Services is aware of an active shooter incident in the facility, they will use the fire alarm pull station and immediately announce, “ACTIVE SHOOTER LAST SEEN [GENERAL LOCATION] EVACUATE THE BUILDING.” During the evacuation, all occupants will be directed to continue past the typical assembly areas, to further locations that provide cover and concealment away from the Convention Center, out of harm’s way. Those who cannot evacuate should remain hidden.

Security Services’ number one priority is to facilitate the response of armed law enforcement personnel and quickly guide them to the shooter in order to quickly end the threat.

In the event of a potential threat outside of the venue, Security Services will announce “LOCK DOWN” and commence locking down the building. The alarm systems will be silenced, until the threat is over. Occupants will be ushered away from lobby spaces and away from windows towards the core of the building spaces, entry as doors are locked. Instructions and important information will be relayed over the PA system.

Immediately notify Convention Center Security!

  • Do not use cellular telephones or portable radios to communicate.
  • Remain calm and use the bomb threat checklist on this page to gather as much information as possible.
  • Remain at your area. Do not begin evacuation unless directed by SDCC Security or a Supervisor.
  • If evacuation becomes necessary, be prepared to calmly assist guests and fellow attendees.
  • Be especially alert for disabled or handicapped guests or employees who may need assistance to safely exit the building.

Lost and Found

The San Diego Convention Center makes every effort to return items lost at the facility back to the rightful owner during and after an event. Items recovered following an event are held for a maximum of 30 days. Unclaimed items will be disposed of after such time.

To claim an item that you have lost while at the SDCC, please leave a message on the SDCC lost and found hotline: 619-525-5407. Be sure to include a description of the item, event name, the date you lost it and your contact information to include a phone number. Alternatively, you can email all of this information to the administrator of the program at lost.found@visitsandiego.com

SDCC Guest Services

The SDCC provides Guest Service Associates at each event when possible to help welcome attendees to the SDCC and assist with questions about the facility, as well as, the city of San Diego. The convention center staff can offer assistance with restaurant reservations, transportation services, tour and attraction information and the latest news on local arts and culture. Concierge desks are conveniently located in lobbies B and E where special discounts, directional maps and brochures are available. Our staff of Guest Services Associates can be easily distinguished by uniforms and are stationed throughout the facility.

Parking at the Convention Center

Entrance is on Harbor drive between 1st and 5th St. Rates may range from $15 to $35 on days when there is special event activity at Petco Park or other downtown events. The lot is owned by the Port of San Diego and managed by Ace Parking. Questions? Call Ace Parking at 619-237-0399.

Unauthorized Company Solicitations

Marketing Organizations
It has come to our attention that representatives from various scam marketing organizations have contacted our convention attendees and exhibitors offering “Attendee list of GBTA-2018 with their complete contact information including email and phone numbers” with the scam companies representing themselves as an approved vendor working on behalf of GBTA. No outside entity has been provided, or is authorized to sell any information related to our vendors, attendees, exhibitors, or other information.
As you know, GBTA is one of the leading business travel associations in the country and, as such, hosts our annual convention which attracts thousands of participants each year. This event, known as the GBTA Convention 2018, is our showcase of the business travel market’s latest products and services and an important source of cutting-edge information. GBTA owns various trademarks which represent our Association which are registered with the United States Patent & Trademark Office (“USPTO”). Be assured, we take this matter very seriously and, in our opinion, the activities of these scam marketing firms violate GBTA’s rights under the U.S. Trademark Statute, the Lanham Act, and, many state laws.
GBTA is pursuing all state and federal consumer protection laws to keep our participants, members and exhibitors safe from consumer fraud and telemarketing (and web) scams, available to ensure that rights in our Marks, and the privacy of our participants are protected.

GBTA Authorized Housing Vendor
Spargo, Inc. is the exclusive official provider of housing for GBTA Convention 2018. No other companies or providers have authorization or permission from GBTA to serve as official providers and work with GBTA on housing arrangements, including room blocks. Spargo, Inc. researches the properties to make certain that Convention attendees will be adequately accommodated. The room block is established to ensure that rooms meet Spargo, Inc. standards and are offered at a discounted price. You may receive solicitations via email, fax, or letter from other companies and housing providers. If you are contacted by any company other than Spargo, Inc. offering housing in San Diego, please note that these companies are not authorized to represent GBTA, nor do they have access to officially contracted GBTA Convention 2018 room blocks or rates in San Diego. These unauthorized companies may falsely use GBTA’s logo and claim to be affiliated with or working on behalf of GBTA, and often don’t deliver on promises to customers. When customers arrive, reservations are non-existent or the hotels are not conveniently located. Sometimes the rooms have been cancelled and hefty cancellation fees have been placed on the customer’s credit card. If any of these companies contact you directly about reservations for GBTA Convention 2018, do not book with them and contact Spargo, Inc. or GBTA immediately. Booking with them puts you at risk, and GBTA cannot be held responsible. Note - GBTA nor Spargo, Inc. will not ask for you to fill out a paper form to collect credit card information to secure hotel rooms, all credit card information is gathered online via the GBTA Convention 2018 housing portal. These companies’ practices make it more difficult for GBTA to meet our room block commitments, and expose us to penalties and increased room rates. GBTA is financially liable for all contracted rooms, whether the hotel sells them or not. This is why we ask that you always book your rooms under the GBTA Convention 2018 block. We work diligently to give all attendees the best overall experience at our Convention and ask for your continued support. Conflicting Events

GBTA Convention participants may not organize or sponsor any activities that conflict with the official GBTA program or sponsored events during official conference hours. The scheduling of product presentations or hospitality activities during any GBTA official Convention events such as the opening reception, Expo, annual business meeting, center stage, convention arena luncheons, the GBTA service project or any convention kick start events, or the closing event is strictly prohibited. Under no circumstances should sales or any other type of individual gatherings, take place during official GBTA Convention events that involve multiple buyers (direct members/travel managers) from multiple companies. Our partners have made significant investments in specific parts of the GBTA Convention and we want all delegates to be able to enjoy this annual, one-of-a-kind experience without distraction.

Supplier Suitcasing/Solicitation

"Suitcasing"/soliciting is prohibited. Suitcasing is the act of soliciting business in the aisles of the Expo, public spaces in, around, and outside the convention center, in another company's booth, in indoor or outdoor public spaces in any convention hotel including the hotel lobbies, foyers, or walkways to the convention center (excluding the use of approved hospitality suites and business lounges). GBTA recognizes that suitcasing may also take the form of commercial activity conducted from a hotel guest room or hospitality suite; a restaurant, club, or any other public place of assembly. For the purposes of this policy, suitcasing violations may occur at venues other than the exhibitor's booth and at other events. Violations of this provision by an exhibitor, sponsor, non-exhibitor, or attendee will constitute a breach of the contract and the violating attendee/exhibitor/sponsor/non-exhibitor or group will immediately cease and desist unauthorized activities. Attendee will remove any equipment or materials contained in the Expo or elsewhere and forfeit all payments to GBTA pursuant to this contract. Additional fees will be charged to the attendee for each violation, and a loss of priority points will occur. Additionally, attendee will be responsible for any damages to GBTA.

    • Fast Pass tickets provide early access to the GBTA Convention Arena and Center Stage sessions. Fast pass ticket holders will have early entrance to avoid the lines and find seating faster. Fast Pass tickets do not provide assigned seats. Doors open for Fast Pass holders 15 minutes prior to all published entrance times.
  • What is the Shuttle Schedule/what route is my hotel on?
    • See the Convention Onsite Program or consult one of the schedules we’ll provide. These are posted at each hotel and where the shuttle drops off passengers and near registration. A shuttle route listing will also be provided in the mobile app.
  • Is there a message center?
    • There is no “message center”.
  • How many attendees do we have?
    • We are expecting approximately 7,000 attendees
  • How many exhibitors do we have?
    • Nearly 400 exhibiting companies.
Registration Questions
  • Are guest/spouse registrations available?
    • Tickets may be purchased for the Opening Reception. We do not allow guest registrations at other GBTA Convention events.
  • How do I get an attendee list?
    • GBTA is the only provider of official attendee lists – lists are not sold to or authorized by other third parties.
    • An attendee list is available for purchase to exhibitors only. Order forms are available in the Exhibitor Service Manual.
    • In addition, a list of companies in attendance will be available online at gbta/convention.
  • Can my friend or guest come to convention?
    • Registration is not available for friends or guests.
  • Can my child/children come to convention?
    • Registration is not available for children. No one under the age of 18 is allowed on the exhibit hall floor or loading dock during move-in and move-out. There will be no exceptions to this rule.
  • Can I just go to the expo?
    • We do not have an expo only pass.
  • Can a guest attend any events?
    • Attendees will have the opportunity to purchase tickets to the opening reception. Maximum purchase of 2 tickets per event per attendee. Opening reception only ticket cost is $150.
  • I did not register for the First Time Attendee Lunch, can I still attend?
    • Yes, but this is limited to first time attendees and mentor participants only. There may be room capacity limitations onsite for those that didn’t express interest during the registration process.
  • Do you have to register for the Convention to participate in the service project?
    • No, you do not have to register for Convention to participate in the service project.
    • Registration for the service project can be found under Convention Kick-Start Sessions Only option during the registration process.
  • I did not register for the Service Project, can I still attend?
    • If space is available, you may still register. Check for availability at the registration desk in the Sails Pavilion (Upper Level). Donations are always welcome.
  • I lost my credentials. Can I get replacement badge/materials?
    • Yes. A fee of $95 will be charged for one-time replacement reprint only. See registration staff for details.
  • What is the substitution policy?
    A processing fee of $195 will be applied for all attendee substitutions beginning on June 19, 2018 through August 3, 2018. The processing fee is waived for complimentary registrations.

    An attendee may transfer his/her registration to another eligible party if he/she is unable to attend GBTA Convention 2018 until August 3, 2018. The substitute is responsible for any and all financial arrangements between the original registrant and the substitute. A request for substitution (including the name of the substitute) must be submitted in writing by 5:00 p.m. Pacific Time on August 3, 2018. Original registrant's registration will be refunded and the substitute must register as a new attendee to complete a new registration and secure housing. The substitute must register before the original registrant is refunded. In some cases, the original registrant’s registration category may differ from the substitute’s registration category and may result in a price difference.

    Beginning, August 4, 2018 all substitutions are subject to a $495 processing fee. The processing fee is waived for complimentary registrations.

  • What is the Cancellation policy?
    There will be a $495 fee for cancellations received on or before June 19, 2018. There will be a $495 fee plus 50% of the paid registration fee for cancellations received beginning on June 20, 2018 through July 17, 2018. No refunds for cancellation will be issued on or after July 18, 2018. If you have a serious reason for being unable to attend, you are welcome to petition for an exception to this policy. To do so, please email us to explain your situation, and include any documentation to support your case (documentation is optional, but recommended). These petitions must be submitted by August 31, 2018 by 5:00 p.m. Pacific Time, to be considered. The decision regarding your petition may take up to one month after the event. There are no refunds for Fast Pass, Opening or Closing event cancellations, service project donations, GBTA Foundation Annual Prize Drawing tickets, or membership fees obtained through registration.

    There is a $50 cancellation fee for Convention Kick-Start and Golf events. Cancellations must be made online.

    Cancelling your registration will not automatically cancel your housing reservation; however, GBTA reserves the right to cancel the room(s). Room(s) will be cancelled within 7 days if the room cancellation has not occurred. To cancel your hotel room(s), please contact conventionhousing@gbta.org. GBTA will not reimburse cancellation or no show fees charged by the hotel.

    All cancellations and refunds will be processed in the same manner as original payment: if paid by credit card the refund will be issued to the card on record, generally within 5-7 business days of the request. Payments made by check will be refunded as a check within 45 days of the close of the convention.

How and when can I vote?

At 11 AM ET Monday morning, Election Services Corporation will send an email to all eligible voters with your personalized election validation number and a link to the voting website. You will need to enter that validation number along with your member number located on your badge to log in and cast your vote. You have until 6PM ET on Tuesday to cast your vote.

How can I learn more about the candidates?

The Annual Meeting takes place at Center Stage in the Ballroom on the Upper Level, Monday at 10 AM ET. All candidates will have the opportunity to speak here.

How do I know if I am eligible to vote?

All GBTA Direct and Allied members attending Convention 2018 are eligible to vote. To vote onsite, you must have been registered for Convention by July 31, 2018 Community-only members are not eligible to vote, you must be an Industry-member. Your badge will also say “Vote-Yes” if you are eligible or “Vote-No” if you are not. If you have questions about your status, please visit the Election Services firm at GBTA Support Central in the North Lobby.

My colleague who did not attend Convention, but is a member would like to vote, how can he/she vote?
