Cancellation Frequently Asked Questions - GBTA Convention 2020

Cancellation Frequently Asked Questions

Why is GBTA canceling the GBTA Convention 2020 in Denver, CO?

Unfortunately, as COVID-19 cases have spiked and concerns for public health have mounted in the U.S. and worldwide, the Colorado Convention Center will be used as a temporary medical facility through December 31, 2020 and therefore is not available to GBTA for our selected dates in November so the venue had to cancel our event.

While GBTA Convention 2020 cannot be held in Denver, what about other venues or other States?

The size and complexity of the GBTA Convention demands years of advance planning, logistics, and contract. A Convention of this scale cannot be moved, re-envisioned and re-planned in a few months. Precious few venues can accommodate a convention the size of the GBTA Convention. Unfortunately, no suitable venues are available. Thus, the convention has been cancelled.

What about a shifting to a virtual event?

GBTA Convention is the biggest event in the business travel calendar. It attracts more than 7,000 attendees from 50 countries all over the world. The event takes years of planning and is formatted to deliver a dynamic attendee experience in a face-to-face environment. While virtual events have their place, such a format simply won’t work for an event like Convention. It’s not as simple as lifting content from one format and recasting it to work digitally. GBTA prides itself on delivering world-class education, content and networking – features that cannot be shifted to the virtual environment on short notice, if at all.

Will GBTA be hosting any other events?

Throughout the pandemic, GBTA has continued to provide members with timely and informative content, including our GBTA Collaboratory, industry forum series, polls disseminated worldwide, webinars and virtual cocktail parties. This activity will continue.

Where will the Convention 2021 take place?

The event will be held July 17-21, 2021, in Orlando, FL.

My company requires that I take the refund option. What are the refund guidelines?

REFUND DEADLINE OCTOBER 1, 2020: We are no longer accepting refund requests.

All refund requests must be submitted by the registered organization or credit card holder and include the name of the attendee.

  • Please allow up to 60-90 days for your refund to process.
  • Annual memberships, donations to charity, and service fees are nonrefundable.
  • Refunds will be issued to your original form of payment, unless there is a specific reason why that is not possible, which we ask you to note on the form.
  • We ask you to provide a secondary contact within your company to confirm the refund payment method. This is necessary for audit purposes.

If you have any further questions, please contact refunds@gbta.org.

What should I do if I received a message from someone claiming to represent GBTA about the GBTA 2020 show being moved online and asking me to pay for access?

Please be cautious—this may be an example of an emerging scam targeting attendees of many of the large events and gatherings that have been cancelled around the world due to COVID-19 concerns.

Attendees: All reservations made through the GBTA housing center have been cancelled. You will not see charges on your credit card.

In December 2020, GBTA will identify the hotel inventory for Orlando, and will ask all transferred and new attendees to select new hotel reservations and provide a new credit card guarantee. There is no action required on your part at this time.

There is no action required on your part at this time. GBTA exhibitors will be required to submit new requests for 2021 room blocks online at a later date.

What should I do with my travel arrangements to a different attendee?

Travel arrangements made for the event are your responsibility to cancel.

Please be mindful that as an industry we all need to work together. The airlines need our support during this time. If you are able to amend, rather than cancel your flight, this will make a huge difference to our airline partners.
